Docman Health Check

A Docman Health Check will ensure the complete integrity of your information and provide an update on operations in your practice. 

The system review will analyse if the practice is using Docman in the most efficient way and improve procedures, where necessary, to save you time.

Who should attend?

IT Administrators, Practice Managers and representatives from the admin staff who carry out scanning and/or filing, appointments and other actions from documents.

Delegates need a full understanding of the Docman System and have used Docman for some time.

Objectives

By the end of the course delegates will be able to:

  • Check Docman with confidence
  • Check the system is backing-up correctly
  • Assess current practice procedures and protocols
  • Look at the most efficient ways of scanning and filing
  • Ensure documents have not been missed
  • Move documents to the correct recipients if an error has occurred
  • Work with shortcuts
  • Perform upgrades
  • Ensure your system is set up to allow all Docman users to be efficient

Course Details

This full-day hands-on course runs from 10:00 until 16:00.  A maximum of 6 delegates per course unless a projector is available in a suitable room.  We only need the clinicians for approximately one hour during the day.

Course Content

Docman System Health Check
This session will check that Docman data is being backed up and that there are no issues relating to the backup.  Check the integrity of documents stored within Docman directories.  Check when read codes were last updated.  Check you are on the latest version and update accordingly. Produce a document and workflow Report

  • Report on documents not in a folder
  • Report on documents over e.g. 2MB in size
  • Identify broken (API) document links

Workflow Report

  • Report on active workflows over e.g. 14 days
  • Report on active workflows with incomplete actions

A brief assessment of current operations.  An opportunity to discuss current procedures and protocols.

Scanning / Filing Review
This session will require the attendance of key members of staff that carry out the daily scanning and filing process.  This gives us an opportunity to look at the most efficient way to scan and file using correct procedures and protocols.

Workflow / Viewing (Clinical Staff)
This session will focus on Clinical staff, viewing scanned documents and the workflow process.  Ensure documents have not been missed and move to the correct recipient if an error has occurred.  Discuss shortcuts to speed up workflowing.

Workflow / Viewing (Admin)
This session will focus on the training of Admin staff, on the viewing of scanned documents and also the workflow process.  We will assess your working pattern allowing you to be more efficient, ensuring all documents within a workflow have been completed correctly and within a reasonable timeframe.

Maintenance and System Setup
This session will focus on System Administrators.  We will show you how to give your system a basic health check and how to check if your system is up to date.  We will show you how to check if you have too many filing lists and to ensure your system is set up to allow all Docman users to be efficient.
